CMMS Can Help When Handling Wrong Orders

It happens to the best of us – you are waiting on an important order when it is either late, lost, or the wrong delivery entirely. It is important to get what you need when you need it, but mistakes happen all the time.

Sometimes you cannot help getting the wrong thing or having to wait on an order you need desperately, but there are a few ways you can handle the situation to give you peace of mind.

 

Preparation

If you have an order that is wrong, gather up all you need to be able to prove that the error was not on your end and you will also need to have information on what you ordered, when it was expected, and what can be done to remedy the situation.

 

Make Contact

In these situations, the phone is your friend. Reach out to the vendor and explain what happened. It is a faster solution than using an email or contact form and it puts the human factor into play. A friendly voice goes a long way, but if you simply cannot use the phone due to the company only taking email or chat correspondence then give as much information as you can in your very first contact with them.

 

Don’t Lose Your Temper

You may be incredibly upset about what happened and rightfully so but losing your temper doesn’t help anyone. It not only raises your own stress level but it will create a situation with the other party that is less than amicable. Not to mention that it will be harder to get a solution to the problem and you may just be yelling at someone who had nothing to do with what happened.

 

Set Your Expectations

Feel free to try to find out what happened and how it can be prevented in the future. Most vendors will want to work with you to come to a mutual solution so that they may maintain your business. Hear them out and see if what they offer is good enough to satisfy you and if not, give a polite rebuttal on something that they can do to fix things like a discount on a future shipment or overnight shipping.
